We are looking to hire a Warehouse Operations Coordinator for our Roswell location!
The Warehouse Operations Coordinator is responsible for supporting customer order processing, project coordination, logistics administration, and selected finance-related activities. This role serves as the administrative link between Sales, Operations, Finance, and customers, ensuring that orders and projects are executed accurately and efficiently.
This position works closely with the Operations & Logistics Coordinator and, Accounting team and Field Engineer Team to ensure workflow continuity and operational efficiency.
Order Management
- Process customer orders accurately and in a timely manner by verifying order details, pricing, and customer information.
- Enter and maintain order data within the ERP system, including transferring sales orders from Odoo to Microsoft Dynamics 365 Business Central (BC).
- Monitor order status and proactively communicate updates to customers and internal stakeholders.
- Coordinate order changes and revisions as required.
- Provide customers with timely status updates on their orders.
- Respond to customer inquiries regarding shipments and order progress.
- Facilitate communication between internal teams and customers.
- Assist in resolving order-related issues and discrepancies.
Logistics Administration
- Prepare shipping documentation and labels.
- Coordinate carrier bookings and shipment scheduling.
- Maintain shipment records and tracking information.
- Support warehouse and logistics activities during peak periods and as needed.
- Assist with inventory transactions and ERP system updates.
Office Administration
- Support office and operational activities, including providing basic technical assistance to team members when required.
- Ensure office and kitchen supplies are adequately stocked and replenished.
- Greet and assist clients, partners, and visitors at the Experience Center.
- Provide administrative support to the Director of Sales as needed.
Project Coordination
- Assist in tracking project milestones, deadlines, and deliverables.
- Schedule and coordinate project meetings.
- Maintain project documentation, meeting notes, and action items.
- Follow up with stakeholders regarding outstanding tasks and deadlines.
- Assist with document management and process documentation.
Cross-Training Responsibilities
- Provide backup support for shipping and receiving activities.
- Assist with product packaging during peak shipping periods.
- Support inventory counts and warehouse improvement projects.
- Develop a working knowledge of warehouse operations to help ensure business continuity.
Qualifications
- 2+ years of experience in operations, administrative support, customer service, or a related field.
- Experience with ERP systems; Odoo and Microsoft Dynamics 365 Business Central are preferred.
- Excellent organizational skills and strong attention to detail.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Ability to manage multiple priorities and work both independently and collaboratively.
- Comfortable performing light physical tasks, including packing, organizing, and moving small equipment.
- Professional, customer-focused, and approachable demeanor for client-facing interactions.
